Huddle is operated by volunteers associated with Toastmasters in New Zealand.

5. Where We Store Your Data

Your information is stored securely using standard industry practices. We use third-party hosting services, which may store data outside New Zealand. We take reasonable steps to ensure your data remains protected.

6. Member Responsibilities

While Huddle takes reasonable steps to protect data on our platform, we are not responsible for privacy breaches resulting from a member's own mishandling, misuse, or unauthorised sharing of club or member information (such as roster data, contact details, or meeting records) once it has been accessed through the Service.

7. Data Retention

You may delete your own account at any time. Upon deletion, your account enters a 14-day grace period during which you can log back in to reactivate it. If you do not log in within 14 days the deletion becomes permanent.


If you have not logged into your account for a period of two (2) years, your account will be marked for deletion. We will send notification emails to the address on file before the scheduled deletion date.


After your account is deleted, backup copies of your data may remain on various platforms for up to one month before being removed. Most identifying data is removed, though your name and role(s) you held for previous meetings across clubs you belonged to will be saved permanently for meetings you participated in with that club. You are welcome to create another account on Huddle at a later date, though your previous data will not be preserved.

8. Security

We take reasonable precautions to protect your information from loss, theft, or unauthorised access. However, no internet transmission is 100% secure, and we cannot guarantee absolute security.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top will reflect any changes. Continued use of the Service after changes constitutes acceptance of the updated policy.
